How Much of What's Paid For Is Actually Productive Work?

Enter paid hours and your own estimate of non-billable hours per week. This shows productive hours and the percentage of pay that goes to actual work.

Next Decision

Want to isolate drive time specifically as one source of non-billable hours? See Drive-Time Burden.

How this is calculated

Productive hours is paid hours minus non-billable hours, both numbers you supply. Productive percentage is productive hours divided by paid hours, the same utilization relationship Weekly Route Capacity uses for committed hours against available capacity.

Worked example

A crew paid for 40 hours a week with 8 hours of meetings, loading, and admin has 32 productive hours, 80% of what they are paid for.

Frequently asked questions

What counts as non-billable time?

Anything paid but not spent on billable work, meetings, equipment loading, admin, or other overhead. You supply this number based on your own operation, it is not estimated for you.

Is drive time non-billable?

Only if it is not priced into jobs. If drive time is baked into your pricing, treat it as productive here. See Drive-Time Burden if you want to measure drive time specifically.

What is a healthy productive percentage?

This varies by business model and how routes are structured, this calculator does not set a benchmark. It shows your current number so you can track it over time or compare crews.

Does this account for unpaid breaks?

No, this works from paid hours only. Unpaid breaks are not part of paid hours and do not need to be entered.
